Privacy Policy

This policy explains what personal data Aeron Systems Pvt. Ltd. ("Aeron", "we", "us") collects through www.aeronsystems.com (the "site"), why we collect it, where it is kept, who sees it, how long we keep it and what rights you have. It applies to this site only. Our products, including the Live3 platform, have their own terms.
We have written it to meet India's Digital Personal Data Protection Act, 2023 (the "DPDP Act") and, for visitors in the European Economic Area and the United Kingdom, the General Data Protection Regulation (the "GDPR").
1. Who is responsible for your data
Aeron Systems Pvt. Ltd. (CIN U72200PN2008PTC133026), registered office D-204, The Pearl, S. No. 1/9A/2, Balewadi, Pune, Maharashtra 411045, India, is the data fiduciary under the DPDP Act and the controller under the GDPR for the personal data described here.
For any question or request about your data, write to contact@aeronsystems.com with "Privacy" in the subject line.
2. What we collect and why
You do not need an account to use the site. We collect only what you type into a form or upload, and the technical data that every website receives.
- Demo and contact requests: your name, company, email address and message; and, if you give them, your country, phone number, the product and application you are interested in, and whether you agree to receive text messages. We use them to answer your enquiry and follow it up.
- Quote requests: the products and quantities you list, your name, company and email address, and, if you give them, your phone number, country and message. We use them to prepare and send a quotation.
- Partner applications: your name, company, country, email address, business area and message. We use them to assess your application and reply.
- Document requests: your name, company, email address and, if you give them, your phone number and message. We use them to send you the document you asked for.
- Job applications: your name, email address, phone number, current employer, total and relevant years of experience, cover letter and CV. We use them to assess your application, contact you about it and, if you are hired, start your employment.
- Newsletter sign-up: your email address, to send you news about Aeron.
- Feedback reports: the problem you describe, your email address if you give it, a screenshot if you attach one, and details of the page and device (page address, referring page, browser, language, screen and window size, orientation and whether the screen is a touch screen). We use them to find and fix the problem.
With every form we also store the date and time you agreed to the notice on it and the page you sent it from. This tells us which pages are useful.
Why we are allowed to use it
Under the DPDP Act we rely on the consent you give when you submit a form, and on the legitimate uses the Act allows, such as keeping the site secure.
Under the GDPR we rely on:
- steps you ask us to take before a possible contract, for demo, quote, partner and document requests;
- our legitimate interest in recruiting, answering enquiries, understanding which pages work and keeping the site secure, which we have balanced against your interests;
- your consent, for the newsletter, text messages, and analytics cookies.
You can withdraw consent at any time, as easily as you gave it, by writing to us or, for cookies, from "Cookie settings" at the foot of every page. Withdrawing does not affect what was done before.
3. Data collected automatically
- Server logs: our hosting provider records IP addresses, browser type, pages requested and times, to run and protect the site. Our own error reports and server messages, with email addresses and phone numbers removed, go to PostHog (EU cloud) so we can find and fix faults.
- Spam protection: every form is checked by Cloudflare Turnstile, which reads technical signals from your browser to tell people from bots. We also count requests from each IP address for a short time to stop abuse.
- Your country: the contact form suggests your country from the approximate location of your connection. You can change it before sending.
4. Cookies and browser storage
Cookies are small files a website keeps in your browser. Browser storage (local storage and session storage) does the same job, but is not sent to our servers. This section lists everything the site keeps in your browser, and every outside service that can, with what each one is for and how long it lasts.
Your choice and how to change it
On your first visit a banner asks which optional cookies you accept. You can choose "Accept", "Reject", or "Settings" to turn analytics on or off. Nothing optional loads until you choose. Your choice applies to the browser you made it in.
You can change your choice at any time from "Cookie settings" at the foot of every page. Taking analytics back stops PostHog at once and tells Google's tags that analytics storage is refused. Services you refuse are not loaded on your next visit. Changing your choice does not delete cookies these services have already set: you can delete them, and everything else on this list, in your browser's settings. If you do, the banner asks again.
Necessary (always on, no consent needed)
These make the site do what you ask. They are kept in your browser and are not used to follow you around the web.
- aeron_cookie_consent_v2 (browser storage, Aeron): your cookie choice, the date you made it and the version of this policy it applies to. Kept until you clear it. When this policy's version changes, the banner asks again.
- aeron_quote_v1 (browser storage, Aeron): the products and quantities on your quote list. Emptied when you send the quote request. Otherwise kept until you remove the items or clear your browser.
- aeron_banner_dismissed_at (browser storage, Aeron): when you closed the announcement bar, so it stays closed for five hours. Kept until you clear it.
- signal-units (browser storage, Aeron): whether you chose metric or imperial units on product specifications. Kept until you clear it.
- Cloudflare Turnstile (Cloudflare): the spam check on our forms. It loads when you start typing in a form, and Cloudflare may keep data in your browser for the check. What it keeps and for how long is set by Cloudflare.
- Staff sign-in (Auth0): only for Aeron staff who sign in to our administration and content pages. The session cookies __session and __cms_session end after one day without use, or three days after signing in at the latest. The __txn_ and __cms_txn_ cookies last up to one hour while signing in. Visitors who do not sign in never get them.
Analytics (only if you accept analytics)
- Google Tag Manager and Google Analytics (Google): Tag Manager loads Google's tags in Google's Consent Mode, and Google Analytics measures how the site is used. Google Analytics uses the cookies _ga and _ga_ followed by an ID; Google states that they last up to two years.
- PostHog (PostHog, EU cloud): records the pages you view, what you click, errors in your browser, and a replay of how you move through the site. Replays never show what you type or the files you choose: every form is hidden from them, and so are our staff pages. PostHog keeps a visitor ID in a cookie and in browser storage named ph_ followed by our project key and _posthog; PostHog's standard setting keeps it for one year. If you take analytics back, PostHog keeps a note in your browser so that it stays off.
Videos
Embedded YouTube videos load only when you press play, from YouTube's privacy-enhanced address (youtube-nocookie.com). Once a video plays, YouTube may keep data in your browser under its own privacy policy. What it keeps and for how long is set by YouTube.
5. How we use your data, and what we do not do
We use your data only for the purposes above. We do not sell it, we do not use it to make decisions about you by automated means alone, and we do not build profiles of individuals.
6. Who can see it
Inside Aeron, only named staff who need it can see submissions, through an administration page that requires signing in. Access is limited by role, and every opening of a CV and every export of submissions is recorded.
These service providers process data for us, under contracts that limit them to our instructions:
- Amazon Web Services, in its Mumbai (India) region: the database of form submissions and the private storage for CVs, screenshots and documents, including a virus scan of every uploaded file;
- Vercel: hosting of the site;
- Cloudflare: the Turnstile spam check;
- Auth0 (Okta): sign-in for our staff to the administration page;
- Amazon Simple Email Service, through Aeron's own mail service: the emails we send you about your request;
- Google and PostHog: only if you accept analytics cookies.
We share an enquiry with an authorised Aeron distributor or partner only when that is needed to answer it in your region. We disclose data when the law requires it.
7. Transfers outside your country
Form submissions and uploaded files are stored in India. Some of the providers above, such as Vercel, Cloudflare and Google, may process data in other countries, including outside India and the European Economic Area. Transfers from India follow the DPDP Act and any restrictions the Government of India sets. Where the GDPR applies, transfers rely on the providers' data processing terms, which include the European Commission's Standard Contractual Clauses.
8. How long we keep it
- Job applications and CVs: deleted two years after you apply, or sooner if you ask us to.
- Files uploaded to a form you never sent: deleted within a day.
- Enquiries, quote, partner and document requests, and feedback: kept while we are dealing with you and for as long as we need them for that purpose or the law requires, then deleted. You can ask us to delete them sooner.
- Newsletter: until you unsubscribe or ask us to remove you.
- Your cookie choice: in your browser until you clear it, or until this policy changes and we ask again.
9. How we protect it
Data travels to us over encrypted connections. Submissions and files are kept in private storage that cannot be reached from the internet. Uploaded files are scanned for viruses before anyone can open them, and CVs and restricted documents open only through links that expire after a short time. No system is perfectly secure. If a breach affects your data, we will tell you and the authorities as the law requires, including the Data Protection Board of India.
10. Your rights
Under the DPDP Act you have the right to:
- get a summary of the personal data we hold about you, what we do with it and who we have shared it with;
- have it corrected, completed, updated or erased;
- withdraw your consent;
- have a grievance about our handling of your data addressed;
- nominate someone to exercise these rights for you if you die or become unable to.
If you are in the European Economic Area or the United Kingdom, the GDPR also gives you the right to access your data and receive a copy, to have it corrected or erased, to restrict or object to how we use it (including an absolute right to object to direct marketing), to receive it in a portable format, to withdraw consent, and to complain to your local data protection authority.
To use any of these rights, write to contact@aeronsystems.com. We may ask you to confirm who you are. We reply within 30 days, and it costs you nothing.
11. Grievances
If you are unhappy with how we have handled your data, write to contact@aeronsystems.com with "Privacy grievance" in the subject line, or by post to Aeron Systems Pvt. Ltd., corporate office, Plot No. 7, Lane No. 5, Laxman Nagar, Balewadi, Pune, Maharashtra 411045, India. We will acknowledge it and respond within 30 days. If you are not satisfied with our response, you may complain to the Data Protection Board of India, or, if you are in the European Economic Area or the United Kingdom, to your data protection authority.
12. Children
The site is meant for businesses and job seekers. We do not knowingly collect data from anyone under 18, and we do not track or target advertising at children. If you believe a child has sent us personal data, write to us and we will delete it.
13. Changes to this policy
We will post any change on this page and update the date at the top. If a change affects what you agreed to, we will ask for your consent again, and the cookie banner will ask for your choice again.
